2. Intended Use

Workstation SparkVision W-SV-01 is a non-medical assistive consumer product. It is a stationary reading workstation that captures printed documents or loaded files, extracts text, and provides spoken or editable text output to support everyday access to written information.

This product is not a medical device. It is not intended to diagnose, prevent, monitor, treat, alleviate, or compensate for disease, injury, or disability. It is not a safety device, emergency device, payment verification device, food-safety device, or legal/financial decision tool.

The product is intended for use by people who want spoken or enlarged access to written information, including users with visual impairments. Use by children or vulnerable users should be supervised by a responsible adult or caregiver.

3. Package Contents and Compatible Accessories

The package includes:

  • Workstation SparkVision W-SV-01.
  • Camera/stand unit.
  • Standard USB Type-A cable for connection to a computer.
  • Software licence key or activation information.
  • Printed or electronic product information.

Use only certified cables and accessories in good condition. Do not use damaged, modified, wet, or visibly worn accessories.

4. Product Overview

The workstation is intended for stable use on a desk, table, reception counter, classroom desk, workplace, or similar flat surface. It uses a camera and SparkVision software to capture printed material, extract text, and provide speech feedback.

Main functions include:

  • OCR capture from the camera.
  • Reading captured or loaded text aloud.
  • Opening files for reading or processing.
  • Saving text as TXT, DOCX, or PDF.
  • Multi-page reading and multi-tab document handling.
  • Keyboard navigation through menus and controls.
  • Speech feedback for user actions, warnings, and errors.
  • Low-vision settings such as text scaling and high contrast.
  • Language settings.
  • Formatting tools such as dictionary, word replacement, and editing marked words.
  • Email sending for current text or documents when configured.
  • AI menu for supported AI-assisted functions.
  • Application update.
  • Licence-key activation and trial behaviour.

All recognition, OCR, AI, and speech outputs are informational only. They may be incorrect, incomplete, delayed, unavailable, or affected by lighting, page position, image quality, document formatting, network status, service availability, or software limitations.

5. Initial Setup

  1. Place the workstation on a stable, flat surface.
  2. Check the camera, stand, base, USB cable, and housing for visible damage.
  3. Connect the supplied USB Type-A cable to the computer.
  4. Start the SparkVision workstation software.
  5. Enter the licence key provided by SparkVision.
  6. Place the document clearly in the capture area underneath the camera and start the capture or reading function.

Do not use the product if any part appears damaged, overheated, corroded, wet, or unsafe.

6. Licence and Updates

The application is activated with a licence key provided by SparkVision. If the licence key is invalid or not entered, a time-limited trial mode is activated for one calendar hour without functional limitation.

Software updates are manual. Use the update function in the application when SparkVision makes an update available. Do not disconnect power or the USB cable during an update. Features are subject to change after software updates.

7. Reading and File Functions

Camera Capture

Place the document flat and aligned within the capture area underneath the camera. The maximum supported document size is A4. Use the camera capture command to extract text from the image. Do not move the document while capture or text extraction is in progress.

Open, Clear, and Save

The File menu includes:

  • Open: opens a file for reading or processing.
  • Clear: clears currently loaded text.
  • Save as TXT: saves recognised or edited text as a TXT file.
  • Save as DOCX: saves recognised or edited text as a DOCX file.
  • Save as PDF: saves recognised or edited text as a PDF file.
  • Update application: checks for application updates.

Multi-page Reading

The application supports reading multi-page documents, creating multi-page documents, and extracting them to TXT, DOCX, or PDF files. When multiple files are open, each open tab corresponds to one loaded file. Page and tab navigation can be performed with the application controls and keyboard shortcuts.

Low-Vision Settings

The Low Vision Settings menu allows text scaling, high contrast, and other display adjustments.

Language Settings

The Language menu allows changing the interface language. Available languages vary by software version.

Formatting Tools

Formatting functions include replacing selected words, opening a dictionary, opening text in an external editor, and editing a marked word.

Email

The Email function sends current text or a document by email when internet access and email configuration are available. Check recipient, content, and attachments before sending.

AI Menu

AI-assisted functions help process, explain, or transform text. When using AI features, you are interacting with AI-supported services. AI outputs may be incorrect, incomplete, delayed, or unavailable. Always review AI output before using it.

8. Navigation in the Application

The application provides navigation through ribbon menus and options using arrow keys, the Tab key, and Shift+Tab where available. Keyboard shortcuts include:

9. Speech Feedback

The application provides spoken feedback for common events, including:

  • Opening or closing file dialogs.
  • Attempting to save when no text is loaded.
  • Missing internet connection.
  • Missing camera or stand connection.
  • Reading all text or remaining text when no text is available.
  • Opening an empty file.
  • Editing commands without a selected word.
  • Opening text in an external editor when no text is loaded.
  • Email errors.
  • Book-search errors.
  • AI-service errors.
  • Successful text loading.

10. Getting Better Results

  • Place the workstation on a stable, flat surface.
  • Keep pages flat and well lit.
  • Align the document inside the capture area.
  • Avoid glare, shadows, curved pages, and moving documents.
  • Clean the camera area if recognition quality decreases.
  • Check important text against the original document before relying on it.

11. Warnings and Precautions

Important warnings:

  • Do not use OCR, recognition, reading, email, or AI outputs as the sole basis for safety, emergency, medical, medication, food, allergen, financial, legal, payment, or accessibility decisions.
  • Do not use the product if the camera, stand, cable, base, housing, or connectors appear damaged.
  • Do not use the product in wet, humid, dusty, or condensing environments.
  • Do not open the housing or attempt unauthorised repairs.
  • Do not place heavy objects on the camera arm, stand, or cable.
  • Do not pull, twist, crush, or sharply bend the cable.
  • Keep the product away from excessive heat, direct sunlight during storage, open flames, and strong mechanical impact.
  • Route cables so they do not create a trip, pull, or entanglement hazard.
  • Respect privacy and local laws when capturing documents, identity data, addresses, payment data, confidential information, restricted documents, or third-party personal data.

13. Compliance

Hereby, "SPARK VISION IS" Ltd. declares that Workstation SparkVision, model W-SV-01, is in conformity with the applicable EU requirements identified in the EU Declaration of Conformity when used as intended and in accordance with this manual. The current Declaration of Conformity for this model includes Directive 2014/53/EU because the workstation includes Bluetooth. Use Bluetooth only in countries and regions where the relevant radio interface is permitted and follow the additional information supplied with the product.

14. Maintenance and Cleaning

  • Turn the product off and disconnect power before cleaning, unless SparkVision instructs otherwise.
  • Clean the camera lens with a soft, dry cloth.
  • Clean the base with a slightly damp cloth if necessary.
  • Do not use solvents, alcohol, abrasive cleaners, ultrasonic cleaning, or excessive water.
  • Do not allow liquid to enter openings.
  • Keep software updated when updates are available.

15. Operating Conditions

  • Use indoors in a dry environment.
  • Place on a stable, flat surface.
  • Avoid strong vibration, impact, dust, condensation, and direct exposure to rain.
  • Do not block the camera or force the stand beyond its normal movement.

16. Storage and Transport

  • Turn the product off before storage.
  • Disconnect the USB cable.
  • Fold the product only as intended.
  • Store in a cool, dry place without condensation.
  • Avoid dropping, bending, crushing, or placing heavy objects on the product.
  • Transport in protective packaging where possible.

17. Troubleshooting

  • Application does not start: restart the computer or device and try again.
  • Licence problem: check that the licence key is entered correctly and contact SparkVision if activation fails.
  • Camera not detected: check the USB connection, reconnect the cable, and restart the application.
  • Poor OCR: clean the camera lens, improve lighting, flatten the page, and align the document.
  • No sound: check system volume, speech settings, and audio output.
  • Cannot save file: check that text is loaded, the destination is available, and you have permission to write to the folder.
  • Cannot send email: check internet connection, email settings, recipient address, and loaded content.
  • AI feature unavailable: check internet connection, account or licence status, and service availability.
  • Update fails: keep the product powered and try again later. Contact SparkVision if the problem continues.

18. Privacy and Data Protection

Depending on the feature used, the workstation and SparkVision software or services capture or process images, recognised text, documents, file contents, email content, device identifiers, licence/account information, and technical logs. Some processing happens locally. Online features transmit data securely to SparkVision services or trusted processing providers.

  • Do not use the product where scanning, copying, transmitting, emailing, or cloud processing documents is prohibited.
  • Check documents before scanning or emailing them.
  • Avoid capturing private documents, payment cards, passwords, identity documents, confidential business information, or restricted materials unless you have the right to do so.
  • AI and recognition outputs may be incorrect or incomplete.
  • Data is retained while the user account is active for the purposes of providing the service, improving services, and troubleshooting. If a user account is inactive for 6 months, SparkVision deletes the account and related personal data, unless a longer retention period is required or permitted by applicable law. Users can request deletion of their data at any time by contacting customer.support@sparkvision.tech.

19. Service Life and Decommissioning

Expected service life is 2 years under normal use and compliance with this manual, unless otherwise stated in the purchase documents.

Stop using and decommission the product if there is irreversible mechanical damage, excessive heating, corrosion, damaged connectors, damaged cable, unstable stand movement, or any condition that may make the product unsafe.

Dispose of the product and accessories through authorised collection points for electrical and electronic waste. Do not dispose of them with household waste.

20. Warranty and Support

  • Commercial warranty: 24 months from product delivery, unless different terms are stated in the purchase documents.
  • The warranty covers manufacturing defects during normal use.
  • The warranty does not cover misuse, unauthorised repair, water damage, impact damage, normal wear, unsafe cables, or incompatible accessories.
  • Users must not open the housing.
  • Repairs are performed by SparkVision or an authorised service centre. For Romania, customer service and warranty handling are provided locally, with repair performed by the Bulgarian SparkVision repair centre unless otherwise stated.
  • This commercial warranty does not affect statutory consumer rights under applicable law.
